1. Who we are
AnswerMetrix ("we", "us", "our") is a software-as-a-service platform that helps website owners improve their visibility across search engines and AI-powered answer engines.
This Privacy Policy explains how we collect, use, store and share information about you when you use our website at answermetrix.com, our web application, our API, or any associated services (collectively, the "Service").

2. Information we collect
Account information: When you register for an account, we collect your email address, name (if provided), and any other information you choose to give us during sign-up.
Website data you submit: To perform scans and provide the Service, we collect the URLs, domain names and website metadata you submit to us. We may crawl publicly accessible pages of submitted websites to analyze SEO and AI visibility signals.
AI processing data: When you use AI-assisted analysis, generation or visibility measurement features, we may process relevant website content, URLs, metadata, business brief information, queries and task instructions. We minimise the data sent for each task and do not intentionally include account credentials, payment information or unrelated account data in AI requests.
Payment information: We do not store payment card details directly. Payments are processed by third-party providers (see Section 7). We receive transaction confirmation and subscription status from those providers.
Usage data: We automatically collect information about how you interact with the Service, including pages viewed, features used, scan history, timestamps and device/browser information.
Log data: Our servers automatically record certain information when you use the Service, including your IP address, browser type, operating system, referring URLs and error logs.
Cookies and tracking: We use cookies and similar technologies to keep you logged in, remember preferences and understand how the Service is used. See our Cookie Policy for details.
3. How we use your information
We use the information we collect to:
- Create and manage your account
- Provide, operate and improve the Service
- Process payments and manage subscriptions
- Send transactional emails (account confirmations, scan results, billing receipts)
- Send product updates and newsletters, where you have opted in

- Provide AI-assisted analysis, recommendations, content generation and visibility measurements
We do not sell your personal information to third parties.
4. Aggregated and anonymised data
We may use anonymised, aggregated, non-personally-identifiable data derived from platform usage — such as scan volumes, fix adoption rates, AI visibility score distributions and feature engagement metrics — to:
- Improve and develop the Service
- Produce industry benchmarks and research
- Publish insights and reports
We aim to use aggregated research data in a form that does not identify individual users or websites. Data that can still identify a person remains subject to applicable data-protection requirements.
5. Legal basis for processing
GDPR (European Economic Area and United Kingdom): If you are located in the EEA or UK, we process your personal data under the following legal bases:
- Contract: Processing necessary to provide the Service you have subscribed to
- Legitimate interests: Analytics, security monitoring and product improvement
- Consent: Marketing emails and optional tracking technologies
- Legal obligation: Compliance with applicable laws
POPIA (South Africa): AnswerMetrix processes personal information in accordance with the Protection of Personal Information Act No. 4 of 2013 ("POPIA"). We collect and process personal information only where we have a lawful basis to do so, specifically:
- Contractual necessity: Personal information required to provide the Service
- Legitimate interest: Security, fraud prevention and product improvement
- Consent: Marketing communications and optional data collection
- Legal compliance: Where retention or processing is required by South African law

6. Cookies

7. Third-party services
We share data with the following categories of third-party providers who assist us in delivering the Service:
- Authentication: Clerk (identity and access management)
- Infrastructure: Cloud hosting and database providers
- Payments: Payment processors for subscription billing
- Email: Transactional email delivery providers
- Analytics: Product usage analytics and configured measurement services
- AI processing: Approved AI infrastructure and model providers used for generation, analysis and provider-specific visibility measurements
For AI-assisted generation, we select privacy-aware processing options, including no-training and zero-retention modes where supported. Provider-specific visibility measurements are sent to the named provider being measured rather than substituted with a different general-purpose model.
The providers or models used for ordinary AI-assisted tasks may change based on task suitability, quality, privacy and availability. Those changes do not expand the purposes for which your data is processed.
Each provider is subject to data processing agreements and handles your data only as needed to perform their specific function.
8. Data retention
We retain your personal data for as long as your account is active and for a reasonable period afterwards in case you return. Scan data and historical reports are retained while your subscription is active.
You can request deletion of your account and associated data at any time by contacting us. We will complete deletion requests within 30 days, except where we are required to retain data by law.
9. Data transfers
Your data may be processed in countries outside your own, including countries that may not have data protection laws equivalent to your home jurisdiction. Where we transfer data internationally, we use appropriate safeguards including Standard Contractual Clauses (GDPR) and equivalent mechanisms under POPIA.
10. Your rights
Depending on your location, you may have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Request deletion of your data ("right to be forgotten" / POPIA erasure)
- Object to or restrict certain types of processing
- Data portability (receiving your data in a machine-readable format)
- Withdraw consent where processing is based on consent
- Lodge a complaint with a supervisory authority — in South Africa, the Information Regulator (www.justice.gov.za/inforeg)

11. Security
We take reasonable technical and organisational measures to protect your personal data against unauthorised access, disclosure, alteration or destruction. These include encryption in transit and at rest, access controls and security monitoring. HTTPS protects supported connections, and sensitive stored integration credentials are encrypted.
No system is completely secure. If you believe your account has been compromised, contact us immediately. In the event of a data breach that affects your rights and freedoms, we will notify you and the relevant regulator as required by applicable law.
12. Children
The Service is not directed at children under 16. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will take steps to remove it.
13. Changes to this policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice on the Service. The "last updated" date at the top of this page indicates when this policy was last revised. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
